Choosing a wedding venue in Dallas TX can be a daunting task. DFW is a huge metroplex and there are so many unique wedding venues to choose from and so many things to consider when searching for your dream location. As Dallas wedding photographers, we understand how important this decision is. So, in an effort to help make your search a little easier, we have put together a checklist of the 12 most important things to consider when choosing a wedding venue.

1. Set a Budget

This may not be the most fun thing to start with, but your budget will play a big role in choosing the right venue. According to the big wedding websites, on average couples will spend around 40-50% of their overall budget on their venue (including rentals + catering). Obviously, this won’t be the same for everyone. But it’s important to set a budget and then determine for yourself which vendors and features are most important to you. This way you can prioritize those and ensure you’re allocating enough of your budget to the most important parts of your day.

2. Choose a Date

If there isn’t a specific date you have your heart set on, then at least having an idea of the month or season in which you’d like to get married will help when selecting a venue and defining the style of your wedding. (For example: an outdoor wedding taking place in the spring will have a very different look and feel from one taking place in the winter.)

3. Define The Style of Your Wedding

The internet is an infinite source of inspiration for wedding ideas. If you haven’t already defined the specific feel and style you’re going for: looking through Pinterest, Instagram and wedding photography blogs is a great way to get some inspiration.  Putting together a vision board of your favorite colors, elements and ideas will help give you a really good idea of what the day will look like and ultimately make the decision-making process easier as you start to look for the specific details!

And since every venue has its own unique vibe and aesthetic, it’s helpful to have an idea of what you’re looking for before you begin your search. That way when you do run across it, you’ll know!

Many couples underestimate the number of guests they will end up inviting to their wedding. So this is an important conversation to have early on. Be sure to prepare your guest list in advance (or at least have a good estimate) as you don’t want to end up with a wedding venue that is too small for your wedding.

6. Ask Local Wedding Vendors For Advice

When in doubt reach out and ask your favorite wedding planner or Dallas wedding photographer for their favorite venues. Who better to ask for help than the people who have worked in this industry for years!

Once you have created a list of your ideal wedding venues, it’s time to snoop around the internet and check out some of the weddings that have already taken place at these venues. Seeing what others have done with the space could help give you an even better idea of what your own wedding could look like there as well!

8. Consider Your Guests

When picking a wedding venue in Dallas TX, the comfort of your guests is also something to consider. For example, if you plan on having guests fly in from out of town and will be in need of accommodation, you might want to pick a wedding venue that is close to a hotel or bed and breakfast.

Now that you have gathered your final shortlist of wedding venues in Dallas TX it’s time to visit them in person. Feel their energy and the atmosphere, ask all the questions and take some pictures or videos to make the final decision easier.

10. Ask All The Questions

Every venue will offer a different experience. And it’s important to understand what each venue includes and has to offer, and also what their restrictions and limitations are. Here are some important questions to make sure you have answers to before leaving your tour:

  • How many guests can they hold?
  • How many hours do you get the space for?
  • What all is included? (eg: tables, chairs, linens, silverware, flatware, catering, dessert, sound system, etc)
  • Is there a day-of coordinator?
  • Are there bridal/groom suites, if you want to get ready on-site?
  • What is parking like?
  • Can you bring in your own vendors?
  • How much set-up and/or clean-up do they offer? And are there additional fees involved?
  • Do they allow sparklers, fireworks, petals or open flames? (if any of those are on your vision board)
  • Is there a Plan B if choosing their outdoor ceremony or reception space?
  • Is there wifi?
  • Are pets allowed on-site?
  • Can you take your bridal or engagement photos there on another day?
  • How many events happen in 1 day? Will you be sharing the space or their only event that day?
  • What is the alcohol policy?
  • Are there any specific restrictions?
  • How many site visits are you allowed?
  • What is the damage/security deposit?
  • Are there any additional fees?
  • How much is the deposit? And how do you reserve your date?

Every wedding is different and every wedding venue in Dallas TX has its own rules. So, asking about all the details is essential when deciding on the perfect venue for your special event!

11. Check Availability

Popular wedding venues are often booked out 1-2 years in advance, so it’s important to ask for availability before falling too in love with any venue. (Or, go in knowing you might have to be flexible with your date if you fall head over heels for one that is already booked!)

12. Be True To Yourself

Sticking to what you believe in, what inspires you, or what resonates with you as a couple and choosing a wedding venue that best reflects your personality is the best way to finalize your wedding venue search! After all, this is a celebration of your love. So, the venue should be an extension or representation of that!
